Terms of Service

Last updated: 26 September 2026

About Heralds

Heralds is an AI workspace for company knowledge, conversations, connected applications and automated workflows. The service is provided by Heralds Technologies Oy, Business ID 3622410-2, Finland ("Heralds", "we" or "us").

These terms apply to your use of Heralds. By creating an account or using the service, you agree to these terms. If you use Heralds on behalf of an organisation, you must have authority to do so. A separate agreement with your organisation takes precedence if it conflicts with these terms. These terms do not change an existing customer agreement.

Your account and use of the service

Keep your account information accurate and your login credentials secure. Use only accounts, workspaces and information you are authorised to access. Let us know if you believe your account has been compromised.

You must use Heralds lawfully and respect other people's rights. You must not use it to gain unauthorised access, distribute malicious software, send unlawful or unsolicited communications, infringe intellectual property or privacy rights, or interfere with the service or its security controls.

Agents and connected applications

You decide which applications to connect and what your agents should do. You are responsible for having permission to connect those accounts and provide information to Heralds.

Review workflow instructions, permissions, schedules and destinations before activation. Activated workflows may run automatically. Whether an action requires additional approval depends on the workflow and its permission settings.

When a workflow sends information to another application, access to that information is governed by the destination's permissions and settings. Third-party services also have their own terms and may change or become unavailable.

You can disconnect applications in Heralds. Disconnecting stops future use of that connection in Heralds, but does not automatically delete information already saved or delivered elsewhere.

AI-generated information

AI-generated responses and reports can contain errors, omissions or outdated information. Review important outputs and their sources before relying on them, particularly for decisions that could significantly affect your business or another person.

Heralds supports your work but does not replace professional judgement or qualified legal, financial, medical or other specialist advice. You remain responsible for how you use outputs and for decisions you make based on them. This does not remove our responsibility to provide the service in accordance with applicable law and our agreements.

Your content and privacy

You retain your rights to the content you provide. You give Heralds permission to process that content as needed to provide the service and carry out your authorised workflows, including through relevant service providers. This permission does not transfer ownership of your content to us.

Our Privacy Policy explains how personal information is collected, used, shared and retained. When we process personal data on an organisation's behalf, the applicable Data Processing Agreement governs that processing and takes precedence on data protection matters.

Information obtained through Google APIs is subject to the restrictions described in our Privacy Policy, including Google's Limited Use requirements. We do not use that information for advertising or to train general-purpose AI models.

Heralds intellectual property

Heralds and its licensors retain ownership of the platform, software, designs and underlying technology. You may use the service as permitted by these terms and any applicable customer agreement. Access does not transfer ownership of the platform or its reusable components to you.

Availability and access

We work to maintain and improve Heralds, but cannot guarantee uninterrupted availability or error-free operation. Features may change as the service develops, subject to any commitments in your organisation's agreement.

We may restrict or suspend access where reasonably necessary to address misuse, security risks, legal requirements or material breaches of these terms. Where practicable, we will explain the reason and provide an opportunity to resolve the issue.

You may stop using the service at any time. Any separate customer agreement continues to govern its own termination requirements. Retention and deletion of information are handled as described in the Privacy Policy and applicable Data Processing Agreement.

Responsibility and liability

Each party is responsible for its obligations under applicable law and any separate customer agreement. To the extent permitted by law, Heralds is not liable for indirect or consequential losses arising from use of the service, such as lost profits or business opportunities. Nothing in these terms excludes liability that cannot lawfully be excluded or limits mandatory consumer rights.

Changes to these terms

We may update these terms as the service or legal requirements change. We will publish the updated version and revise the date above. For material changes, we will provide reasonable advance notice and seek acceptance where required by law. Updates do not override the amendment requirements of a separate customer agreement.

Governing law and contact

These terms are governed by Finnish law, without limiting mandatory protections that apply to you. We encourage you to contact us first so that we can try to resolve any concern. Disputes may be brought before the competent courts under applicable law, subject to any valid dispute-resolution provision in a separate customer agreement.

For questions about these terms, contact your Heralds representative. For privacy matters, contact privacy@getheralds.com.
